6. Enabling the Mass Capture Feature with vFiler Integration

This section describes how to enable the Mass Capture feature to work with the vFiler Capture and Indexing Application to create an automated filing system directly into HighPoint. This section also assumes you have knowledge of the vFiler workflow design, specifically the PublishToPDF function enabling a user to create Searchable PDFs and inserting index variables into the PDF metadata.

6.1 How to enable vFiler to create metadata within a PDF.

As you can see in the picture below, the vFiler PublishToPDF process enables a user to insert index variables directly into the PDF metadata. Each one of these PDF metadata fields are indexed within the HighPoint repository and become searchable. A user can then perform a very narrowed (Boolean type) search when looking for a specific index field versus using Full Content searching which relies entirely on OCR results.

6.2 Searching for vFiler created PDF metadata from within the HighPoint Repository.

From within the HighPoint Library, a user can select Index Search to query for any one of the above index variables that are stored in the HighPoint Document Properties as in the picture below. Notice below in the Description index, the variables from the above picture are mapped directly into that index field.

Watch this short video clip to demonstrate how the Index Search works perfectly to locate a Salesman's invoices named Peacock. Then notice in the video how quickly it is to locate all the salesman named Peacock's invoices from one client using Indexed Search. Keep in mind other Indexes can be added to the search including Date Created to give you a broader, but still narrowed (Boolean Type) search capability. This is VERY powerful.

That's it - just start the application and you'll be able to perform Indexed search after a Mass Capture of documents was performed that were stored in the Windows folders and brought into the HighPoint repository manually, or on a schedule.
