vFiler™
specifically watches network folders for documents
or images to arrive and then will perform a series
of steps or processes in sequence depending on the
design of the workflow. The workflow design is
process dependent, but will inevitably include
document indexing.
Content from documents is captured using document
imaging software which converts paper documents into
digital images and index (searchable) data. Images
are stored as data files on a storage system
(typically as PDF or Compressed Group 4 TIFF files)
and the indexes are stored in a document management
system repository application for security,
collaboration, storage and retrieval. The capture
process
begins to work after an image has been created from
a scanner, email or document saved to a folder. The
process is called Capture from Folder which monitors
a user-defined folders and sub- folders
to capture a variety of image types.
Most of the content generated by businesses consists
of unstructured information such as paper
correspondence, e-mails, packing slips, signed proof
of delivery receipts, agreements, contracts,
training manuals and such. Our
vFiler™capture and indexing system is a software
application that can process scanned documents (and
virtually any other file type) automaticallydirectly into our HighPoint Repository, Windows folder trees, text files and any ODBC database. Many
sophisticated technologies are used during this
process. The processing steps are user
definable; allowing end-users to customize
the steps to maximize the performance.
Document Imaging systems are designed to capture a
wide variety of document types. The primary
function of a document imaging system is to capture
this information. Not only are financial services
very paper-intensive, but their
operations also tend to be geographically
distributed, with branches, agencies and remote
field offices.

document capture and indexing system enables
end-users to quickly and easily design the system to
meet their specific requirements. For example,
instead of transcribing all the details from a
supplier invoice through data entry, a
document imaging system
can scan the invoice and use forms processing
software with zonal-OCR technology to recognize the
values in the different fields of the invoice, such
as item specs, rate, quantity, and amount. This
would be a much quicker process compared to manual
data entry.
Most of the content generated by enterprises
consists of unstructured content. For example, you
would be receiving a great deal of paper-based
correspondence, e-mails, brochures, reference
manuals, and so on. All of these constitute to
content that can provide decision-making support or
action-facilitating information.
A document imaging system
changesinformation and data on paper into a
digital format that can be indexed, automatically
filed in a repository and then retrieved quickly and
easily. The resulting cost savings can be dramatic
